Background to the task
This US government contractor has been our MSP client since 2007, with payrolling services added to the program in 2017. In May 2020 the client had the opportunity to bid for a project to run the COVID-19 contact-tracing programme for a US state. To succeed, the company needed a payrolling partner that could support the project and approached us to collaborate on the tender bid.
Rising to the challenge of increased demand
Following a successful bid, we worked with a trusted affiliate to deliver the initial payrolling of 300 individuals for the COVID-19 contact tracing. However, the scope of the support quickly changed to become a co-sourcing collaboration, with a combination of our resourcing expertise and candidate networks being used to supplement contacts provided by the state. We contacted individuals with job descriptions and role details, managing all vetting and screening for those who declared an interest. As well as carrying out background checks, we were also responsible for the onboarding process, managing the project work and payrolling in its entirety.
Initial worker numbers also increased significantly as demand for the project spiked. The number of individuals being pay-rolled almost quadrupled by the end of the project, up from 300 to 1,200.
Delivering at speed
Following the governor’s public announcement of the partnership with the US government contractor on 1 May, we had to move extremely quickly to get the first cohort of workers ready by 6 May. This was achieved despite the short timeframe and the need for the remote onboarding of individuals, at the beginning of the pandemic when this was not the norm.
Given the significant increase in recruitment volume and project requirements, and urgent need from the state to hire these people quickly, we were subsequently tasked with co-sourcing and onboarding 500 people within the first two weeks – a challenge that the team took in their stride and delivered. Due to the success of the programme, we continued to co-source and onboard an additional 400 workers for a further three months.
Reporting on progress
With the ever-changing nature of the project, the process for sourcing suitable candidates had to be refined and fine-tuned throughout the course of the project. However, utilising our expertise, the process ran smoothly and, in total, more than 3,800 candidates were contacted by the team to support this project.
The client and the state were also given access to real time data, so they could monitor the progress of each individual during the hiring cycle with complete clarity and visibility. Being able to provide reporting for this project was essential given that it came under extreme public and media scrutiny.
The contact tracing work has now been integrated into vaccine customer services management.
Developing relationship
The success of this engagement and Guidant’s ability to adapt to quick turnaround times and flexible solutions, has resulted in further collaboration and expansion of the relationship with the government contractor.
Following the contact tracing support, Guidant was also asked to deliver on the following:
- Source and onboard 125 people to score English proficiency exams in July. This was a very fast project with just two-weeks to complete all onboarding and payrolling in a remote environment. Due to the success of this support in 2020, Guidant will be sourcing all the scorers for 2021 as well.
- Transitioning 115 employees for a State Unemployment Center from another supplier.
